This policy explains what personal information STOMP Fitness collects when you use this website or take part in our sessions, why we collect it, who we share it with and what your rights are. We have tried to write it in plain English. If anything is unclear, email us at hello@stomp-fitness.com.
Who we are
STOMP Fitness Ltd is a company registered in England and Wales, company number 13359950, registered office Pond Cottage, Frensham Little Pond, Frensham, Farnham GU10 3BT. We run outdoor and studio fitness sessions and coaching in and around Farnham. For data protection law we are the “controller” of the personal information described here.
The information we collect
When you fill in a form on this website. Our enquiry, coaching and question forms ask for your name, email address and mobile number, together with your answers about where and how you would like to train and anything else you choose to tell us. Each form also records the date and time you sent it. If you accepted analytics cookies, the form also sends how you found our website: the website, advert or email that brought you here, the page you arrived on and when, and how many times you visited; if you also accepted advertising cookies, the click reference of the advert you clicked. We use this to see which of our marketing leads to enquiries and new members. We do not ask for health information on the website; if you tell us about an injury or condition in the free-text box, we use it only to give you sensible advice about which session suits you.
When you book or join. Bookings, memberships, attendance and payments are handled by TeamUp, our booking and customer management system (see “Who we share it with”). When you create a TeamUp account you give TeamUp your details directly, and TeamUp asks for an emergency contact and, if you choose to give it, health information relevant to exercising safely. Payments are taken by TeamUp’s payment provider; we never see or store your card details.
When you contact us by email, phone or message. We keep the correspondence so we can reply and remember what was said.
When you browse the site. Our web host records the standard technical information every web server records: your IP address, browser, the pages you requested and when. We keep these logs for a short period for security and to fix problems. If you accept analytics or advertising cookies (see “Cookies and analytics”), Google and Meta also collect information about how you use the site.

We do not sell your information and we do not use it for automated decision-making.
Who we share it with
We use a small number of service providers who process personal information on our behalf under written contracts:
- TeamUp (goteamup.com) holds our customer records, bookings, memberships and attendance. When you send a form on this website, your name, email, mobile number and answers, and how you found the website if you accepted analytics cookies, are passed straight into TeamUp so that we can follow up. TeamUp’s own privacy policy applies to the account you create with them. TeamUp also provides the marketing tools we use to send email newsletters, so your contact details and your marketing preference are held there too.
- IONOS hosts this website, its daily backups (which include the website form entries) and our email in UK and EU data centres.
- Google provides Tag Manager, Analytics and Ads. These only run if you accept the relevant cookies; see below.
- Meta (Facebook and Instagram) provides the advertising pixel that tells us whether our Facebook and Instagram adverts lead to enquiries. It only runs if you accept advertising cookies.
- Trustpilot displays reviews on our site. The review widget loads from Trustpilot and Trustpilot’s privacy policy applies to it.
We may also share information if the law requires it, for example with HMRC, or to protect our rights or someone’s safety. Some of these providers are based outside the UK or transfer information outside the UK; where that happens we rely on the UK’s adequacy regulations or the International Data Transfer Agreement to protect it.
Cookies and analytics
The website uses cookies and similar tools. Essential cookies keep the site working and remember your cookie choices; they are always on. Analytics cookies (Google Analytics, and our own cookie that remembers how you found the site) and advertising cookies (Google Ads and the Meta pixel) are only set if you accept them in the cookie banner, and you can change your mind at any time from the cookie link in the footer. We use Google Consent Mode, so when you decline, Google’s tags do not store cookies or identify you. Our cookie notice lists the cookies we use.
The timetable page embeds TeamUp’s booking widget, which sets its own cookies when you use it to log in or book.
How long we keep it
- Website form entries: 12 months, then deleted. The copy in TeamUp is kept as part of your customer record.
- TeamUp customer records: for as long as you are a customer, then up to 6 years after your last booking or payment for tax and legal purposes, after which they are deleted or anonymised.
- Enquiries that never lead to a booking: 12 months from the last contact.
- Marketing consent: until you withdraw it. We keep a record that you unsubscribed so we do not contact you again.
- Web server logs: up to 8 weeks.
- Website backups: up to 14 days.
Your rights
You have the right to ask us for a copy of the information we hold about you, to have mistakes corrected, to have information deleted where we no longer need it, to restrict or object to how we use it, and to receive the information you gave us in a portable format. Where we rely on your consent, you can withdraw it at any time. To use any of these rights, email hello@stomp-fitness.com. We will reply within one month and will not charge you.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Children
Our sessions and this website are for adults. We do not knowingly collect information from anyone under 16 through the website. If you think a child has given us their details, email us and we will delete them.
Security
The website uses HTTPS. Access to TeamUp and to the website’s administration is limited to the people who need it and protected by strong passwords. No system is completely secure, so if you think your information has been misused, tell us straight away.
Changes to this policy
We update this policy when the way we work changes. The date at the top tells you when it was last revised. Significant changes will be flagged on the website.
